Privacy and your data

Your company’s data in Gabriel belongs to you. This page explains how to get a copy of it, how to close your account, and how long data is kept after you leave.

Exports from a list are for anyone with export permission. Full exports and account closure are in Settings > Billing, under Your data, which administrators and Billing Contacts see.

  1. Open Leads, Contacts, Companies or Opportunities.
  2. Filter the list to the records you want, or clear the filters for all of them.
  3. Click Export.

You get a CSV file of every record that matches the filter and that you can see. Managers and admins can export by default. To let anyone else export, an admin gives them a custom role with the export permissions.

For everything in one go, including activities, notes, call logs and uploaded files, ask our support team:

  1. Go to Settings > Billing.
  2. Under Your data, click Request data export.
  3. Add a note if there’s anything we should know, then click Send request.

Support replies to your email address with a secure download link within 30 days. The link expires after 7 days.

  1. Go to Settings > Billing.
  2. Under Your data, click Close account.
  3. Add a note if you like, then click Request closure.

Support emails you to confirm before anything is deleted, and replies within 30 days.

When you cancel under Settings > Billing, your account stays available until the end of the period you paid for, then becomes read-only. Until that date you can reactivate the subscription. After it, click Subscribe on Settings > Billing to start again, any time before your data is deleted. See Billing.

A canceled account’s data is kept for 90 days after your paid period ends, then deleted. To have it deleted sooner, use Close account.

To stop someone using Gabriel, an admin deactivates them. Their login stops working, their email and calendar connections are removed, and the records they worked on stay with your company.

If someone asks for their personal data to be removed, contact support: click your name at the bottom of the sidebar, then Contact support, or reply to any email from our support team.

  • Your records and settings are removed from Gabriel straight away when an account is deleted.
  • Backups of our database are kept for 7 days, so deleted data is gone from backups within 7 days.
  • Files such as call recordings, photos and logos are removed from Gabriel straight away, and are gone from our backups within 35 days.
  • Billing records (invoices and payments) are kept by our payment provider, as the law requires.
  • Your connected systems (Microsoft 365, Google, Autotask, SharePoint) are yours. Closing your Gabriel account doesn’t delete anything in them.
  • Admins: export before any big clean-up. A CSV export of contacts and companies before a bulk delete or a big import gives you something to compare against or restore from.
  • Keep export permission with managers and admins. An export contains every record the person can see, including phone numbers and emails. Grant it to other roles only when they need it.
  • Deactivate people the day they leave. Reassign their work first, then deactivate: it ends their access and disconnects their mailbox and calendar, so Gabriel stops syncing their email.
  • Request a full export before you close or cancel. List exports don’t include activities, notes, call logs or files. A full export does.
  • Send personal data requests to support promptly. If a customer or prospect asks to be forgotten, support can remove their data. Contact support as soon as the request arrives, so you can answer within your legal deadline.
